Project Management Officer (PE-12140)
The Project Management Officer is expected to perform the following duties:
Meeting Support
o Schedule meetings and send invitations to relevant stakeholders.
o Prepare and distribute meeting agendas in advance.
o Attend project meetings, take meeting minutes, and ensure they are reviewed, updated, and approved.
o Track action points arising from meetings, follow up with team members, and ensure timely completion.
Project Planning & Tracking
o Assist in maintaining and updating the Project Plan together with the Project Manager
o Track timelines, milestones, and deadlines related to both One Network and Zetes solutions.
o Regularly review project progress and send reminders to team members to ensure deadlines are met.
Training Support
o Assist in the preparation of training materials for project-related sessions.
o Send invitations for training sessions and track attendance.
o Help organize breakout rooms during training sessions (if needed).
o Provide logistical and administrative support during training sessions to ensure smooth execution.
Issue Tracking & Management
o Assist in tracking user-reported issues in production (for both One Network and Zetes systems).
o Ensure that solutions to these issues are documented and shared with the relevant stakeholders.
o Monitor the status of open issues and follow up for resolution progress.
Documentation & Guidance Material
o Support the creation, updating, and sharing of guidance materials such as job aids, user manuals, and training documentation.
o Maintain a central repository for guidance material and ensure easy access for all stakeholders.
o Track distribution of materials and provide regular updates to the team.
Stakeholder Management
o Coordinate with internal teams, IT, external vendors, and warehouse operations staff to align project goals and requirements.
o Communicate project updates, progress, and challenges to stakeholders and senior management regularly.
o Organize workshops, testing, and training sessions for end-users.
QUALIFICATIONS AND SKILLS:
Educational Background
o A degree in Business Administration, Project Management, Information Systems, or a related field. Equivalent practical experience will be considered.
Experience
o At least 3-5 years of experience in a project support or assistant role, preferably in a tech or logistics project environment.
o Familiarity with project management tools (e.g., MS Project, Wrike, Asana or similar systems) is a plus.
o Experience with issue tracking systems and documentation management.
Skills
o Strong organizational skills with the ability to prioritize tasks and meet deadlines.
o Excellent communication skills, both written and verbal.
o Attention to detail and a proactive approach to problem-solving.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
o Understanding of supply chain processes (warehousing, international distribution)
o Basic knowledge of Warehouse Management Systems (e.g., One Network) and Barcoding/Scanning solutions (e.g., Zetes) is desirable, but not required.
